Process automation payback calculator

Enter the hours a process takes today and what the automation would cost. You get the monthly saving after running costs and the months until it pays for itself.

Your figures

Across everyone who does the process today. From 1 to 2,000 hours / week
Salary plus employer costs, divided by working hours. From 5 to 300 EUR / hour
From 0 to 2,000,000 EUR
Licences, hosting and maintenance. From 0 to 100,000 EUR / month

Estimate

Net saving per month
€1,822
Payback time
8.2 months
Gross saving per month
€2,122
Net result after the first year
€6,860

How we calculate

  1. Gross monthly saving: hours saved per week × weeks per month × hourly cost × realisation rate.
  2. Net monthly saving: gross saving minus the monthly running cost of the automation.
  3. Payback: implementation cost ÷ net monthly saving. If the net saving is zero or less, it never pays back.
  4. First-year net: twelve months of net saving minus the implementation cost. Ramp-up time before the automation runs fully is not modelled.

Assumptions

Assumptions

Weeks per month4.33 weeks52 weeks divided by 12 months. Holidays are covered by the realisation rate below.Calendar arithmetic
Hours that turn into real savings70 % of hours savedFreed time is rarely all reused, and some manual checks stay. Counting 70 % keeps the estimate on the cautious side.TOC project experience (conservative pick)
